As great as it is to have a banquet event order, it is important to note that there are limitations that are involved when using the traditional model of a BEO. A few examples of problems associated with a BEO include:

•Unexpected delays with the outside staff such as caterers and florists.

•Unexpected influx of guests

•Changes in weather disrupting sitting patterns

•Last-minute changes

So how can artificial intelligence make a BEO better?

As you can see, the greatest strength of a BEO is also its greatest weakness. The precise nature of a BEO means that unexpected changes can lead to confusion amongst the staff.

AI can help resolve this problem by introducing a dynamism that allows for instantaneous changes to the program and relaying this information to the staff quickly.

For example, if an open outdoor space meant to be used for an event suddenly becomes unusable due to sudden unexpected rains, then it becomes possible to quickly create a model for how new sitting arrangements and scenography could be made in a new space using AI-powered programs. How these programs work will be explained in greater detail down below. Once this modeling is done, the rendered image could then be used to amend a digital BEO as opposed to an unchangeable paper BEO.

Even more impressive than this is that AI is capable of restructuring the entire arrangement of an event when timelines get messed up. In nearly every occasion I have attended, there is always something that happens to disrupt the anticipated flow of events. Guests can arrive late, the main speaker can fail to show up, the catering staff can be late with food, etc.… The question that always emerges is: how will this affect the day, especially if a gathering is supposed to end at a specific time.

An AI-powered BEO should be able to skim some time off the less critical moments of the get-together and hand over the additional minutes to the most critical parts of the jamboree. This requires an event manager to have certain predefined parts as critical and others as non-critical. In this way, time can be restructured accordingly when things inevitably go wrong.
